Privacy Policy

This Privacy Policy (also referred to as our Privacy Notice) explains how FHNETWORK handles personal data collected through this website, our inquiry forms, and the FHNETWORK Talent Passport. It is written to align, in plain language, with the principles of transparency, legitimate purpose, and proportionality and the data subject rights set out in the Philippine Data Privacy Act of 2012 (Republic Act No. 10173) and related rules and guidance of the National Privacy Commission.
1. Overview
FHNETWORK is a Philippine-rooted network connecting organizations, communities, professionals, and opportunities. We collect personal data only where it is needed to respond to an inquiry, operate an FHNETWORK account, or provide the services a person has asked for.
This notice applies to visitors of this website, people and organizations who submit an inquiry to us, and people who create an FHNETWORK account and build a Talent Passport.
2. Information we collect
We collect information you provide directly to us, and a limited amount of technical information generated automatically when you use the site. We do not buy personal data from third parties, and we do not require you to provide information that is not relevant to the purpose you are using the service for.
3. Contact and partnership inquiries
When you submit an inquiry through our contact form, we collect:
- your name and email address
- your organization, organization website, and your role
- industry, organization location, and organization size
- your primary objective for contacting us
- preferred currency and estimated budget, where you choose to provide them
- your timeline, project details, and any additional notes you include
- the page of our site the inquiry was submitted from, and basic anti-spam and submission-timing signals used to detect automated abuse
Inquiry details are recorded in our inquiry database and are also appended to an internal FHNETWORK inquiry worksheet hosted on Google Workspace so our team can review and respond.
4. FHNETWORK accounts and Talent Passport
Creating a Talent Passport requires an FHNETWORK account. Account sign-up, sign-in, and password reset are handled through Supabase Auth, our authentication provider. FHNETWORK does not have access to your password in readable form.
For accounts and Talent Passports, we may collect and store:
- your account email address and authentication metadata handled by Supabase Auth
- consent records, including the consent type, the action taken, the date and time, and the policy version in effect
- private account details: your legal given name, legal family name, and an optional private mobile number
- professional identity details: your professional display name, headline, city, province or region, country, and timezone
- declared work experience: employer, role or title, dates, and description
- Talent Passport status and activity metadata, such as the current step and record timestamps
The Talent Passport deliberately separates private account details from your professional identity. Private details such as your legal name and mobile number are not part of your professional identity record. Organization-side browsing, sharing, or discovery of Talent Passport information is not available at this time; if we introduce it in the future, it will be through a further, separate step.
5. Resume uploads and professional information
Uploading a resume is optional. If you choose to upload one, we ask for a separate consent at the moment of upload. We store the uploaded file together with related upload metadata such as the file name, file type, size, and upload time, and we process it to help structure your experience record.
Uploaded files are checked server-side for file type and size before they are accepted. You should not include information in a resume that you do not want us to hold.
6. Technical and security information
Like most websites, our hosting and backend providers process limited technical information as part of delivering and protecting the service — for example request and connection data, session and authentication tokens needed to keep you signed in, and error or diagnostic logs used to detect faults and abuse.
We do not run advertising trackers or behavioural advertising profiling on this site.
7. How we use information
We use personal data to:
- review, respond to, and follow up on inquiries and partnership discussions
- create and operate FHNETWORK accounts and Talent Passports
- structure and maintain the professional information you choose to provide
- communicate with you about the request or service you engaged us for
- operate, maintain, secure, and improve the website and the service
- detect, prevent, and address spam, abuse, security incidents, and misuse
- comply with legal obligations and respond to lawful requests
In plain language, we rely on the following bases for processing:
- your consent, for example the consents recorded in the Talent Passport flow and the separate consent for resume storage and processing
- the need to respond to your request or provide a service you asked for
- our legitimate operational and security interests, where permitted by law and balanced against your rights
- compliance with legal obligations, where applicable
9. International and cloud processing
Our service providers operate cloud infrastructure that may be located outside the Philippines. Where personal data is processed abroad, we remain accountable for it and take reasonable steps to ensure it is handled consistently with this notice and with Philippine data privacy requirements.
10. Data retention
We keep personal data only for as long as reasonably necessary for the purposes described in this notice, and for as long as required by applicable legal, regulatory, and operational requirements. We do not currently operate an automated fixed deletion schedule. When information is no longer needed, we take reasonable steps to delete or otherwise dispose of it securely.
You may ask us to delete information you have provided; see “Your choices and rights” below.
11. Security
We take reasonable organizational, physical, and technical measures intended to protect personal data against unauthorized access, loss, misuse, or alteration. This includes relying on established providers for authentication and data storage, restricting internal access to what is needed, and validating uploaded files server-side.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please protect your account credentials and notify us through our contact page if you believe your account has been compromised.
12. Your choices and rights
Subject to applicable law and to reasonable verification of your identity, you may exercise the rights available to data subjects under the Data Privacy Act, including:
- the right to be informed about how your personal data is processed
- the right to access the personal data we hold about you
- the right to object to certain processing
- the right to have inaccurate or incomplete data corrected
- the right to erasure or blocking of your data, where the grounds under law apply
- the right to data portability, where applicable
- the right to file a complaint and to seek damages, as provided by law
Some information may need to be retained where we have a continuing legal or legitimate operational basis to keep it. If we cannot act on a request in full, we will explain why. You can also edit much of your Talent Passport information directly in your account.

13. Withdrawing consent
Where we rely on your consent, you may withdraw it at any time. Withdrawal does not affect the lawfulness of processing carried out before the withdrawal, and it may mean we can no longer provide part or all of the Talent Passport. Consents are recorded individually with a timestamp and policy version so that changes can be tracked.
14. National Privacy Commission and complaints
If you believe your rights under the Data Privacy Act have been affected, we encourage you to raise the matter with us first through our contact page so we can try to resolve it. You also have the right to lodge a complaint with the National Privacy Commission of the Philippines.
15. Changes to this policy
We may update this Privacy Policy as the service develops or as legal requirements change. When we do, we will revise the effective date above. Material changes affecting consent-based processing may be reflected in a new policy version in the Talent Passport consent record.
